Holded and Verifactu: activate it and comply with the regulations

The Verifactu system is the new billing control tool developed by the Tax Agency within the Anti-Fraud Law, whose objective is to ensure that all invoices are verifiable, traceable, and secure, preventing manipulations and improving tax control.

If your company issues invoices in Spain, this affects you. And if you already use Holded, you have a great part of the work done.

WHO DOES IT AFFECT AND WHEN?

The regulation is approved to strengthen the fiscal traceability of commercial transactions, establish the mandatory use of electronic invoicing, and unify formats and validation systems.

The deadlines for mandatory compliance are as follows:

Who Deadline
Billing software like Holded
Since July 2025
Large companies
January 1, 2027
SMEs and self-employed
July 1, 2027

Although the deadlines end in 2027, it is best to anticipate and prepare now so that the change does not cause a major shock in the company. Those who wait until the last moment are more exposed to errors and last-minute rushes, possibly facing potential penalties.

WHAT DOES VERIFACTU REQUIRE FROM YOUR BILLING SYSTEM?

To comply with the Verifactu Regulation, the software must ensure record integrity and electronic signatures, manage electronic certificates, guarantee traceability through the records that allow tracking each invoice, and store the information in an accessible and exportable way.
This for your company means that:

  • Invoices cannot be deleted or modified once issued
  • Each invoice will have a QR code and a unique identifier (VFAC)
  • The records will be automatically sent to the AEAT
  • Invoices generated outside the software will cease to be valid

HOLDED ALREADY COMPLIES AND WE CONFIGURE IT FOR YOU

At GROUPmee we make sure that the Verifactu setup in your Holded account is correct from the very beginning: we review your company’s tax information, configure the billing series, verify that no invoice is generated outside the system, and train your team to work according to the new regulations.

It is important that those who manage billing understand how traceability and secure recording work, as Verifactu will not allow invoices to be deleted or modified once issued. Training is not optional: it is part of compliance.
